Speaker guidelines

Please note that you cannot change the title or any information in the abstract that you originally submitted. If for some reason you are now unable to present, a co-author will be presenting in your place, we need to know that information immediately. Contact Emily Larson at Larson.Emily@gmail.com.

Please read the following information very carefully for all the information you need to prepare for your presentation.

Presentation Format

Please format your presentation using the WPEA PPT Template provided to you when sending to the production team. All presentation files are due to bchan@livehappy.com no later than Tuesday, June 18.

As a backup, please save your file in PowerPoint format (.pptx) on a USB flash drive (USB stick). If you create your presentation on an Apple (Mac) device, please save your presentation in PowerPoint, not Keynote.

Please send any video or audio files separately; we ask that you do not embed any files into your presentation.

On the day of the event, if you have any last minute changes or questions regarding your presentation, please visit our office space in room 201A.

*** Please note laptops will be provided in each Breakout Room for speaker presentations; we ask that you do not use your personal laptop for your presentation as the audio visual equipment may not work with it.

Presentation Timing

*** We will have volunteers in the front row with time warnings at 2 and 1 minute for all presentations.

IPEN Talks: 10 Minutes in Length

Your designated room will have 4-5 IPEN talks back to back. Depending on your timeslot, you will be speaking before or after someone, so we ask that you keep your talk to exactly 10 minutes. At the end of all the presentations, there may be a few minutes left to have a general Q & A for all presenters in the room.

 

Mini Workshops: 30 Minutes in Length

Your designated room will have 2 Mini Workshops back to back. Depending on your timeslot, you will be speaking before or after someone, so we ask that you keep your talk to exactly 30 minutes including Q&A time, if you wish to have it.  
 

Speed Workshops: 10 Minutes in Length

Your designated room will have 4-5 Speed Workshops back to back. Depending on your timeslot, you will be speaking before or after someone, so we ask that you keep your talk to exactly 10 minutes. At the end of all the presentations, there may be a few minutes left to have a general Q & A for all presenters in the room.

 

Panel Presentations: 30 Minutes in Length

Your designated room will have 2 Panel Presentations back to back. Depending on your timeslot, you will be speaking before or after someone, so we ask that you keep your talk to exactly 30 minutes including Q&A time, if you wish to have it.  

 

Full Workshops: 60 Minutes in Length

Your designated room will have 1 Full Workshop. Please keep your talk to exactly 60 minutes including Q&A time, if you wish to have it.

 

Poster Presenters

If you are a poster presenter, you will be allowed into the Exhibitor Hall on Sunday, June 24 from 2:00 - 6:00pm to set-up your poster. Your poster should be 24” x 36” laminated poster. A poster stand will be provided to you. Here is a website with some helpful information on poster guidelines. The posters will be up in the Exhibitor Hall for the entirety of the event. Dedicated poster sessions (where you are presenting) will be:

 

  • Tuesday, June 26 from 12:30 p.m.–1:40 p.m. (lunch)

  • Wednesday June 27 from 6:00 p.m.– 7:00 p.m.


Headliners & Keynotes Only

For those speaking in the Ballroom: the computer for your presentation will be controlled from backstage. You will have a remote to advance your slides at your desired pace. A screen will be stationed at the front edge of the stage and will display your presentation (or notes). A separate screen will be stationed at the front edge of the stage and will display your remaining speaking time, please adhere to this time as it will affect other speakers speaking after you.

Please visit the Speaker Ready Room as early as two (2) hours prior and no later than 45 minutes before your designated presentation time. The room will be available starting at 7:00 am. The Speaker Ready room is located on the Upper Level in Room 200. There, you will confirm the final order or any changes to your presentation and monitor notes with our technician.
